I think complete transparency is the best way to run a business so here is a little list of things that you may want to read through before you book me! And cause it's a little boring, here's a puppy to keep you entertained.
If you have any questions regarding any of the points raised below I would be happy to answer them.
All wedding dates are available on a first come first serve basis and will only be secured by submitting a completed and signed contract along with a payment for a 30% booking fee.
If another couple enquires about your date within four weeks of the booking proposal & contract being sent, I will contact you out of courtesy to see if you are still interested. If I don’t receive a response within 2 days I will take the other booking forward. After the four week period is over, you will not be notified if another couple is interested in or books your date.
You are entitled to a cooling off period of 14 days from the date of the paid booking fee to change your mind, after which the booking fee is non refundable.
Payment of the balance (70%) is due no later than 4 weeks before the date of the wedding. You will receive automated email reminders 2 weeks, 1 week and 2 days before the due date.
Failure to pay in full by this agreed date will make the contract void. Depending on the circumstances one of two things will happen, either I won't show up and as such will not shoot your wedding, OR I will shoot your wedding but you will not receive a single image until payment has been made. Late payment of any amount due will incur an 8% interest rate per annum from the time the payment was due until the time paid.
If I cancel for reasons beyond my control (for instance- death, injury or sickness) liability shall be limited to the amount of monies paid. If I have to cancel within two weeks of the wedding date, a full refund will be paid OR I will source an alternative photographer of the same or higher qualification, style and pricing.
If you terminate the contract later than 14 days after the date of the booking fee payment, the booking fee will not be refunded and the following percentage fees apply against the full cost:
90 days or less – 100% of the amount owed is to be paid
91 – 130 days – 75%
131 – 180 days – 50%
If you wish to change the date of the wedding then all monies can be transferred to a new date subject to my availability – this may incur extra charges, for example if the date is on a prime weekend/bank holiday/New years Eve or if my prices have increased.
The location of your engagement session (if applicable), will be within 20 miles of Colchester. If you wish to have your engagement session further away fees may incur to cover my travel expenses depending on the chosen location.
Engagement sessions can be booked on a week day/evening. Should you wish to book your engagement session on a Saturday or Sunday, please be aware that I may need to reschedule your session if I am required to provide emergency cover at a wedding for a fellow photographer. You will be informed over email/text and I will give you at least 3 days notice.
Whilst my cameras are weather proof (to some extent), if it rains on the day of your engagement session I will contact you and offer to reschedule if you’re not keen on the idea of doing your session in the rain!
I don’t charge any additional expenses for local weddings.
If your wedding is over 2 hours/100 miles away I might need to stay in a hotel the night before and/or the night of your wedding and may request that my accommodation expenses are covered.
This will usually be discussed during our first meeting and agreed upon signing the contract (unless there is a change of venue for example).
If your wedding is taking place outside of the UK, my Destination Wedding collection is inclusive of travel and accomodation expenses!
If your wedding is taking place outside of Europe I will require my travel and accomodation expenses covered.
Travel expenses to include airport parking, hold luggage (yeah I need to bring some clothes cause my hand luggage will be FULL of camera stuff!), flights, airport transfers and/or car hire.
Accomodation will be a minimum of 5 nights stay to cater for any potential flight delays or cancellations.
As a wedding photographer I am on my feet all day, running around to capture everything that’s happening and helping out with the preparation where I can. So I get tired and I will take up to 1.5 hours of breaks to rest my feet and have a drink/snack. I usually take a quick break after the ceremony, a longer break during the meal and another break in between the reception and evening celebrations.
It’s always a bit tricky for me to get food as usually venues are miles away from any shops so it would be greatly appreciated if I could be fed during the wedding breakfast! I don’t expect to sit with the guests and be served a 3 course meal but a hot meal would be nice. Also, I’m a vegetarian, hope that’s okay 🙂 If your venue is providing a supplier meal, please request that I get fed after the starter when the main guests get their food. Typically, I get fed at the end, and if the speeches are after the meal I barely get 5 minutes to eat which isn’t ideal!
I will be the sole professional photographer on the day along with my assigned second shooter where applicable. However friends and family are welcome to take lots of photographs and videographers are welcome.
It is your responsibility and/or the responsibility of your guests to come and speak to me prior to the wedding to inform me of any circumstances in which a person cannot have their photograph taken.
In the (hopefully extremely) unlikely event that something happens to me on my way to your wedding, you will be provided with a copy of my Emergency plan with instructions as to who to contact and what to do. Click here to download a copy.
I will upload a copy of my Emergency plan onto your Sprout Studio portal and also send you a copy before your wedding.
I (and my second shooter if applicable) will record the day in a documentary and reportage style. However I will not, and can not photograph every single person present at your wedding. If there are certain special people that you want to me focus on, you will need to tell me and point them out. Any images required other than that of a documentary nature (group shots) should be written down in detail and provided to me before the wedding day. You will receive a questionnaire 4 weeks before your wedding with room for you to write down your group shot list and any specific requests for photos.
Group shots are important, but they do take time, so please make sure when you are planning your day with your venue that you allow for 3-5 minutes per group shot. I usually say to couples that 5-10 is a good number (this doesn’t include the wedding party/ bridesmaids and groomsmen) Please note it is not always possible to do all the group shots but every effort will be made to achieve them.
Although I will endeavour to capture all the photos requested, on occasion circumstances will occur out of my control that may mean these photos are not possible – for example, weather, unwillingness of guest, schedule…
Whilst I can’t predict the future, I can estimate the number of photos supplied based on my experience. It will depend on the number of hours I am shooting, the location, the number of guests and activities etc… Last summer I supplied an average of 600 photos per full day wedding with two photographers. With only one photographer you will usually get less photos.
I shall be granted creative and artistic licence in relation to the choice of locations and poses used. Only images that meet my creative standards will be provided. Images not supplied to you are deleted from the systems at point of selection and are not stored in archive. Please be aware that I deliver all useable images, the only images I don’t deliver are duplicates, blinkers or blurs.
All images supplied will be edited. I do not supply Raw/unedited files.
I use a Lightroom preset which I have designed and perfected over the years. This preset is applied to all the images and I tweak it image by image where necessary. This preset is the style of my work and by booking me you will accept that this preset will be used. Please ensure that you have seen enough examples of work of both mine and other photographers to understand the different editing styles.
My job is to take amazing photos on your wedding day. Your job is to resist buying them all!
I will be designing your wedding album for you and I will upload your album proofs onto Sprout Studio and send you the link. You will be able to review each spread and let me know if you would like any images removed or swapped for others. You are allowed two revisions, Once you have made your revision, I will upload a final version for you to double check and approve before I place the order.
High res prints can be ordered directly from the online gallery. Should you and your guests prefer to print images yourself please note that I cannot guarantee the printing quality. Full resolution images will be available for purchase should you or your guest want to order extra large prints.
A sneak peek of approx. 30 images will be posted within 48 hours of your wedding on Facebook or uploaded onto your gallery depending on your privacy agreement.
High resolution watermark free images will then be delivered within 6 to 8 weeks. These will be uploaded onto your online gallery available for download.
Following GDPR regulations, every client has the right to know where their photographs and data are stored, for how long and what happens to the images and data after the wedding.
Personal data is stored on my online password protected Sprout Studio account.
Images will be stored on SD cards during the wedding. My cameras have dual card slots and each and every image is recorded on 2 SD cards at a time to prevent the loss of images in the unlikely event that one card fails.
All the raw/unedited images are transferred onto a hard drive and backed up onto my online OneDrive account after the wedding. All SD cards will be cleared and formatted once this has been done.
Once culled, the images not selected are deleted. The images selected are edited, saved onto a hard drive, backed up on OneDrive and uploaded as high resolution images onto a Sprout Studio gallery available for download. The gallery will expire 2 years after delivery.
Raw/unedited images are deleted 3 calendar months after the wedding. Full resolution edited images are stored for a period of 3 years.
Personal data is archived onto my online password protected Sprout Studio account. Should you wish for this data to be deleted please let me know.
Following GDPR regulations, every client has the right to know where their photographs get used and how they get used.
I reserve the right to share images on my Instagram and Facebook stories during the wedding. This could include photos of you and/or images of details/venues (anything except identifiable data) depending on your privacy agreement.
I need to have an online presence with new and fresh content posted on a regular basis in order to be able to continue growing my business. I offer a £100 discount off my full day collection for any couple who gives me full rights to share their images on social media. This does not necessarily mean images will be plastered all over social media! There will be a section in the contract where you will be asked to opt in or opt out.
I do reserve the right to post details images (flowers, locations and scenic shots) without using any names, people or faces as a marketing tool even if you have requested privacy.
